Bear Valley Music Festival – Executive Director Job Description

Bear Valley, California is near the crest of the Sierra Nevada mountains (at 7,000 feet) on Highway 4, nestled below a popular downhill ski area (BearValleyMountain, sometimes called MountReba). BearValley also offers cross-country skiing in the winter and a variety of camps and sporting events in the summer. The community has a small year-round population and several hundred long-term owners of vacation homes. Many of the homeowners consistently attend and donate to the annual Music Festival.

Bear Valley Music Festival is a non-profit organization which has delivered great classical, jazz, musical theatre, opera and country music in Bear Valley for over 40 years. For the last two decades, a symphony orchestra, comprised of musicians from all over the country, has performed over two weeks (three weekends) in a 300 to 800 person tent in the middle of Bear Valley Village. The Festival has highlighted many up-and-coming classical performers, such as Van Cliburn competition winners. In past years, Bear Valley Music Festival has also offered patrons a full-length opera. Bear Valley Music Festival also hosts many other musical genres (jazz, Broadway pops, country, a capella) and captivates children with a special kids concert.

The Bear Valley Music Festival audience draws from the San Francisco Bay Area, Sacramento and the California Foothills. The Foothills (Calaveras, Amador and StanislausCounties) have seen enormous population growth in the last 20 years, with a growing retiree community which values the high-quality music, performed in a casual venue, which BearValley offers.

BearValley itself is on the cusp of redevelopment, with a fully approved ski area expansion and construction of a new village next to the existing group of condominiums. The Festival’s next Executive Director will have the opportunity to shape a new Music Festival for the next 40 years of performances.

In the last decade, the Festival’s annual budget has ranged from $300,000 to $500,000. The Festival typically has two part-time, year-round employees in addition to the Executive Director, and a summer-time paid and volunteer staff of about 20. In the last 20 years Bear Valley Music Festival has had a Music Director, who sets the program together with the Executive Director, and who manages the orchestra’s operations. The Festival’s Board of Directors ranges from 10 to 15 members, mostly Bear Valley homeowners or Calaveras county residents, who are regular donors and actively engaged in meeting the Festival’s strategic and operational needs. The Festival typically starts the last weekend in July and runs for two weeks.

Executive Director Job Description

The Executive Director should be a proven leader, an experienced event planner with strong marketing abilities, skilled in budgeting and negotiating, and experienced in fundraising. Relationship building is a large part of this position – with the Bear Valley homeowner community, businesses in Bear Valley (particularly the Lodge and Bear Valley Mountain) and in Calaveras County, donors and volunteers. The role is part-time, with very flexible hours, from September through June, with an increasing time commitment as the Festival approaches.

Administrative responsibilities

Develops the annual budget and manages spending. Supervises monthly bank reconciliations, reviews financial data and manages variances from budget.
Manages all personnel (hiring, compensation, reviews and termination), including office staff, interns and production staff.
Develops multi-faceted marketing and public relations plan. Manages electronic and traditional (print) timeline and marketing materials. Manages the Festival’s website. Serves as the Festival’s media spokesperson.
Drives subscription and single ticket sales to meet budget while enhancing the Festival’s reputation.
Negotiates and signs contracts with all performers, vendors and group ticket-buyers.
Obtains permits and licenses for event (encroachment, building, health, liquor).
Manages printed programs including advertising, layout and production.
Selects venues (tent, Lodge, ski area)
Works with Production Manager and orchestra Personnel Manager to stay in timeline and budget



Programming responsibilities

Together with the Music Director and the Board’s Programming Committee, selects classical programming which supports the Festival’s goals and fits its budget. Selects non-classical programming in consultation with the Music Director. Identifies and attracts novel, audience-drawing performers.
Coordinates and supports the Music Director and the orchestra members responsible for orchestra personnel, music and travel.

External relations responsibilities

Works closely with the board of directors. Presents the core of the agenda at monthly meetings in Bear Valley (Saturdays). Participates in periodic executive committee meetings, in person or by conference call. Coordinates and supports all fundraising projects with the Board’s fundraising committee, including the annual Gala and Auction.
Develops relationships with outside community, attends BearValley business association meetings, and chamber of commerce mixers in Calaveras, Amador and Stanislaus counties.
Leads the organization’s development programs, including annual operating donations, endowment and planned giving. Manages major donor relationships, together with the Board of Directors. Procures corporate sponsorships, including wine donors.

Specific desirable skills

Excellent written, verbal and interpersonal skills. Strong problem-solving skills. Well organized, with strong ability to delegate and manage. Highly self-motivated and able to work independently.
Capable of managing several projects simultaneously, while maintaining attention to detail.
Computer literate. Proficient in financial budgeting and management software. Experienced with marketing using the Internet.
Practical experience with non-profit organizations, preferably performing arts promotion and production.
